Equity, Diversity and Inclusion Policy

As the hosts of WOMA2024 we are committed to upholding the principles of Te Tiriti o Waitangi, and recognizing the distinct status of Māori as tangata whenua, with whom we look to partner to achieve greater diversity and inclusion within our physics community.

WOMA2024 values the free exchange of ideas and respectful debate, and we understand our responsibilities in ensuring that our community supports these values. The New Zealand hosted WOMA workshop is committed to providing a harassment-free experience for attendees at our hosted and sponsored events regardless of gender, gender identity and expression, sexual orientation, disability, physical appearance, body size, race, age, or religion.

Harassment and hostile behaviour are unwelcome at WOMA2024. This includes speech or behaviour (including in public presentations and online discourse) which intimidates, creates discomfort, or interferes with a person’s participation or opportunity for participation in the event. We aim for WOMA2024 to be an environment where harassment in any form does not happen, including but not limited to: harassment based on race, gender, religion, age, colour, national origin, ancestry, disability, sexual orientation, or gender identity. Harassment includes but is not limited to: verbal comments that reinforce social structures of domination [related to gender, gender identity and expression, sexual orientation, disability, physical appearance, body size, race, age, religion, etc]; sexual images in public spaces; deliberate intimidation, stalking, or following; harassing photography or recording; sustained disruption of talks or other events; inappropriate physical contact; unwelcome sexual attention; and advocating for or encouraging any of the above behaviour.

It is the responsibility of the entire WOMA community to promote an inclusive and positive environment for our workshop. In addition, any attendee who experiences harassment or hostile behaviour may contact any of the organising committee or contact the event organiser who is usually available at the registration desk of the event. Please be assured that if you approach us, your concerns will be kept in strict confidence, and we will consult with you on any actions taken.

COLLECTION OF PERSONAL INFORMATION WOMA24 EU GENERAL DATA PROTECTION REGULATION (GDPR)


Please note by registering for the International Workshop on Microcavities and their applications your personal information, including email addresses and other data is collected for WOMA24, is for the purpose to gather information for the Workshop. The information gathered is held in a secure server within the IVvy™ Events Software environment – for more information on IVVY SECURITY

The Organising Committee and IVvy™ Event software employees have direct access to your data once it is collected. This is for the purpose of organising the Workshop.

Use of your data

Please note that your data may be forwarded to the WOMA24 Sponsors and Exhibitors for marketing, educational and promotional purposes. Your data will also be used to populate a general delegates list that may be printed or displayed on a website. The information contained in the general list will exclude any direct contact details. Your data MAY also be shared with the organisations and third parties as below:

• IVvy, the cloud computing platform the events database is hosted on.
• PayPal our authorised ecommerce providers.
• Caterers. Where you have indicated a dietary restriction, this will be provided to any catering company contracted for the event.
• Audio Visual supplier who receives Speaker presentations.
• Travel agencies and suppliers that may assist with flight or ground transport bookings.
• Website developer
• Collateral designer and printer e.g., programmes, name badges.
• WOMA24 workshop organisers.

 

As part of the registration process, you will be asked to state your preferred data collection policy, the options are:

1. I agree to share my data with all parties including sponsors and exhibitors – this means all data you provide will be shared with those organisations and third parties listed in this policy, as well as sponsors and exhibitors and on a delegate list.

2. I agree to share my data with all parties to enable my attendance at the workshop- excluding sponsors and exhibitors - this means all data you provide will be shared with those organisations and third parties listed in this policy but will exclude sponsors and exhibitors and the delegate list.

3. I agree to share my data with all parties to enable my attendance at the workshop and then want it deleted - this means all data you provide will be shared with those organisations and third parties listed in this policy but will exclude sponsors and exhibitors and the delegate list. At the conclusion of the workshop your data will be deleted, and a code applied for financial purposes.

Opting out
If, at any time, you DO NOT wish your information to be shared in this way, please notify the workshop organisers CONTACT US to have your information withheld. If you choose to do this your attendance at the WOMA24 may be negatively impacted.
